11 | Responsibilities | Human Resources Responsibilities 1. Talent Acquisition & Recruitment Manage the end-to-end recruitment process including drafting and publishing job advertisements, screening applications, shortlisting candidates, scheduling interviews, and facilitating the final selection process. Coordinate onboarding processes to ensure new hires receive the necessary training, orientation, and tools for success. Maintain a proactive talent pipeline by engaging with recruitment agencies, job portals, and professional networks. 2. Employee Records Management Maintain and update accurate employee records, ensuring confidentiality and data security in compliance with PDPA and company policies. Manage and update HR databases, including employee personal files, leave records, medical claims, and training records. 3. Payroll and Compensation Administration Assist in the preparation of monthly payroll by collecting and verifying data on attendance, overtime, and allowances. Liaise with the Finance department to ensure timely and accurate payroll submissions and statutory contributions (EPF, SOCSO, EIS, PCB). 4. Policy Implementation and Compliance Assist in developing, implementing, and reviewing HR policies and procedures to ensure alignment with current labour laws and industry best practices. Provide guidance to employees and management on HR policies and employment regulations. 5. Employee Engagement & Development Coordinate and support the execution of employee engagement programmes, team-building activities, and internal events to foster a positive workplace culture. Organise training and development programmes to enhance employee skills and career growth. Monitor training effectiveness and maintain records of training outcomes. 6. Performance Management Facilitate the performance appraisal process, ensuring timely completion of evaluations and proper documentation. Support Senior Executive, Director and CEO in identifying performance gaps and proposing development plans. 7. Employee Relations Address employee grievances and disciplinary issues in a fair, respectful, and timely manner. Provide counsel to employees on HR-related matters and promote open communication across all levels. 8. Reporting and Analytics Prepare regular reports on HR metrics, including headcount, turnover, absenteeism, and staff development progress. Analyse HR data to support strategic planning and decision-making. 9. Secretariat Duties: Personnel and Remuneration Committee Serve as the secretariat by organising and coordinating all committee meetings, including scheduling, preparing meeting agendas, compiling and distributing relevant documentation, and recording accurate minutes. Ensure timely follow-up on action items and maintain confidential records relating to personnel matters, remuneration structures, and employment terms. Performance and Appraisal Committee Provide secretarial support by preparing documentation on staff performance evaluations, appraisal reports, and development plans for review. Facilitate communication between the committee and relevant departments to ensure smooth implementation of performance management processes. Tender Committee Act as the primary liaison for the committee, handling the preparation and distribution of tender documents and evaluation reports. Coordinate meetings, maintain transparent records, and ensure compliance with procurement policies and procedures. Administration Responsibilities 1. Office Management Oversee daily administrative operations to ensure a well-organised and efficient office environment. Handling phone calls, emails, and correspondence. Managing and maintaining filing systems (both physical and electronic). Monitor the maintenance and cleanliness of office facilities, including maintaining office equipment and arranging for repairs when needed. 2. Supplies and Vendor Management Manage procurement of office supplies and stationery to ensure operational continuity. Maintain relationships with vendors, negotiate contracts, and monitor service level agreements to ensure quality and cost-effectiveness. 3. Meeting and Event Support Provide logistical and administrative support for internal and external meetings, including preparing meeting agendas, recording minutes, and ensuring timely follow-up on action items. Coordinate logistics for company events, training sessions, and special projects. 4. Compliance and Documentation Ensure that administrative processes comply with legal and company requirements. Maintain proper filing and documentation of company records, including contracts, permits, and correspondence. 5. Management Support Assist senior management with administrative tasks, including drafting reports, preparing presentations, and managing schedules.
